This arrangement has been in place for the duration of the Bursary Scheme and the service provision is set to continue to 2026. The current contract for the existing software has been in place since 2015 and has successfully supported the bursary application process. In line with procurement regulations and to explore opportunities to develop the service through availability of new software and technology advancements, NWSSP are exploring market service offerings before going to tender later in 2020. The student awards service team process on average 9 600 student applications and manage approximately 12 000 phone calls a year. Therefore a robust software solution is required to manage this service. The current process manages the bursary applications by: receiving on line student applications, requesting evidence to support the student application, enabling assessment of the application by the Bursary Assessor, communicating application outcomes to students, providing knowledge management to students via Student Awards call centre. The project team would like to see the following key features demonstrated on the supplier demonstration day. 1) Bilingual English and Welsh language capability; 2) Tracking functionality and visibility for all stakeholders on student bursary pathway; 3) Ability to monitor progress and performance through stages of student bursary pathway; 4) Reporting functionality that enables champion end user to customise reporting to support business needs e.g. customise drag and drop solution; 5) Suite of standard reporting and dashboard solution highlighting performance delays/bottlenecks within pathway with an ability to directly link with non-compliance records; 6) Ability to interface with other NHS organisational systems; 7) Document management functionality across stakeholder group; 8) The solution must be multi-faceted in respect of integrated communication e.g. system notifications, email, intelligent FAQ system within an integrated business system; 9) Functionality to sign up to terms and conditions; 10) Push workload; 11) Solution must maximise use of technology to validate evidence; 12) Cloud based solution; 13) Compatible with Office 365.
